Regulations for Participation in the Congress
20th International Congress PMI Poland Chapter
November 27-28, 2025
I. General Provisions
1. The International Congress PMI PC will be held from November 20 to November
22, 2024, at the Airport Hotel Okęcie, located at ul. Komitetu Obrony Robotników 24,
02-148 Warsaw.
2. The organizer and the entity responsible for the event is PMI Poland Chapter,
headquartered in Warsaw (02-672), ul. Domaniewska 47/10, NIP 525-227-89-73.
3. The regulations for participation in the Congress regulate the rules of:
a) participation in the Congress on November 20-22, 2024, and issues related to
payment and cancellation of participation,
b) participation in Workshops held on November 20-22, 2024, including payment
for Workshops and cancellation of participation.
c) The accompanying event called "PMIthon" is subject to separate regulations
available at: www.pmithon.pmi.org.pl
4. The event website http://congress.pmi.org.pl/ provides information about the
Congress, registration, and payment for participation in the Congress.
5. The meanings of the terms used in the Regulations:
a) Congress – The event named 19th International Congress PMI Poland
Chapter organized by the Organizer, taking place in Warsaw from November
20 to 22, 2024;
b) Organizer – PMI Poland Chapter, headquartered in Warsaw (02-672), ul.
Domaniewska 47/10, NIP: 525-227-89-73 – the entity responsible for the
event;
c) Regulations – these regulations of the Conference;
d) GDPR – Regulation (EU) 2016/679 of the European Parliament and of the
Council of April 27, 2016, on the protection of natural persons concerning the
processing of personal data and on the free movement of such data, and
repealing Directive 95/46/EC. OJ L 2016 No. 119/1;
e) Participant – a person who is at least 18 years old and has full legal capacity,
a legal entity, or an organizational unit without legal personality but capable of
acquiring rights and incurring obligations in their name, who has correctly
registered for the Congress using the system and meets the other conditions
specified in the Congress Regulations.
II. Rules for Participation in the Congress:
1. The basis for participation in the Congress is the completion of the registration
form available on the event website http://congress.pmi.org.pl/ and payment of the
conference fee. Registration lasts until November 19, 2024, at 11:59 PM.
2. Participation in the Congress requires reading and accepting the Regulations.
3. Participation in the Congress is paid, and the cost of participation includes
attending lectures, networking, workshops organized during the three-day event
(November 20-22, 2024), conference and post-conference materials, coffee breaks,
and lunch. The current price is provided on the Congress website. The price does
not include travel, accommodation, and parking costs. The Organizer does not
mediate in finding accommodation. Participation in the "PMIthon" event is separately
payable.
4. The amount of the conference fee depends on the Participant's registration date
and any discounts granted to an individual Participant or groups of Participants. The
final price is determined by the Organizer.
5. The Organizer reserves the right to change the price, which will be communicated
via the website http://congress.pmi.org.pl/. The price change does not apply to
already registered Participants.
6. The Participant is required to pay the participation fee for the Congress within 7
days from the date of confirmation of registration for the Congress by the Organizer
or no later than the day before the event, i.e., November 19, 2024 (in the case of
registration for the Congress less than 7 days before the event).
7. Promotional and group discounts are not cumulative.
8. Applications for participation will be accepted until the available slots are filled.
9. The Organizer has the right to deny the Participant's participation in the Congress
for reasons attributable to the Participant if the Participant's participation may disrupt
the Congress due to inappropriate behavior or threaten the safety of other Congress
participants or property.
10. The Organizer reserves the right to conduct contests and promotional actions, in
which the prizes will be individual discounts for participation in the Congress or
Workshops (individual promotional codes).
11. Participation in the Congress and Workshops must be confirmed by the
Participant's signature on the attendance list each day of the Congress.
III. Rules for Participation in Workshops:
1. The basis for participation in the Workshops is the completion of the registration
form available on the event website http://congress.pmi.org.pl/ and payment of the
fee for participation in the Congress. Registration lasts until November 19, 2024, at
11:59 PM.
2. Participation in the Workshops requires reading and accepting the Regulations.
3. Information about the Workshops will be provided on an ongoing basis on the
event website.
4. The maximum number of participants in a single Workshop is 10.
5. The Organizer reserves the right to change the maximum and minimum number of
participants.
6. Changing the Workshops selected by the Participant to others is possible only if
there are still available slots in the newly selected Workshops.
7. The Organizer reserves the right to cancel the Workshops in case of an
insufficient number of participants or other situations beyond the Organizer's control.
Participants will be informed about the cancellation of the Workshops via email. If the
Participant wishes to change Workshops, they will be given the opportunity, provided
there are available slots in the selected Workshops.
IV. Gross Cost of Participation in the Congress for Non-PMI Members
1. For participants registered by July 31, 2024, inclusive (Early birds), the price is
2800 PLN gross per person.
2. For participants registered from August 1, 2024, to September 30, 2024, inclusive
(Regular ticket), the price is 3000 PLN gross per person.
3. For participants registered from October 1, 2024, to November 19, 2024, inclusive
(Late Birds), the price is 3300 PLN gross per person.
4. Failure to pay within 7 days or by November 19, 2024, is not equivalent to
resignation from participating in the Congress. Resignation from participation in the
Congress must be made in the manner specified in point XI, section 1 or 2 of the
Regulations.
5. The Organizer reserves the right to extend the time for selling tickets at a
preferential price, which will be communicated to participants on the event website.
V. Gross Cost of Participation in the Congress for PMI Members
1. For participants who are PMI members, registered by July 31, 2024, inclusive
(Early birds), the price is 2240 PLN gross per person.
2. For participants who are PMI members, registered from August 1, 2024, to
September 30, 2024, inclusive (Regular ticket), the price is 2400 PLN gross per
person.
3. For participants who are PMI members, registered from October 1, 2024, to
November 19, 2024, inclusive (Late Birds), the price is 2640 PLN gross per person.
4. Failure to pay within 7 days or by November 19, 2024, is not equivalent to
resignation from participating in the Congress. Resignation from participation in the
Congress must be made in the manner specified in point XI, section 1 or 2 of the
Regulations.
5. The Organizer reserves the right to extend the time for selling tickets at a
preferential price, which will be communicated to participants on the event website.
VI. Gross Cost of Participation in the Congress for Organizations Registering 5
or More People
1. Prices for organizations registering 5 or more people will be determined
individually.
2. Participants registering from one organization are asked to send an email
requesting group registration to congress@pmi.org.pl.
3. The Organizer also allows including information in their registration system about
treating the registration as part of a group registration of a given organization in the
"COMMENTS" field for the purpose of issuing a collective invoice and applying
preferential group discounts.
4. For group registrations (for groups of at least 5 people), each member of the
registered group must accept bank transfer as the payment method.
VII. Payment Deadlines for Participation in the Congress:
1. A participant who has chosen the bank transfer payment method in the online
registration system is obliged to make the payment within 7 days from the date of
registration, but no later than November 19, 2024. In the case of payment made on
November 19, 2024, the Participant is obliged to send the transfer confirmation to
congress@pmi.org.pl immediately before the event starts.
2. For organizations registering 5 or more people, the VAT invoice payment deadline
will be determined individually.
VIII. Payment Rules
1. The Participant enters into a participation agreement in the Congress upon
registration.
2. Entering into the agreement obligates the Participant to make payment for
participation in the Congress according to points IV or V or VI of the Regulations.
3. The Participant makes payment for participation in the Congress through:
a) Bank transfer (if bank transfer is chosen as the payment method in the online
registration system). After receiving confirmation of the registration from the
Organizer via email, the Participant is asked to make the payment by bank
transfer using the following details:

In the transfer title, please include:

b) Online payment via the Ticketbutler platform.
4. Upon confirming the registration via email by the Organizer and the Participant's
payment, the Organizer will send the Participant a VAT invoice via email within 7
days. A paper VAT invoice can also be issued and sent to the Participant at the
provided address upon request. To request this, contact the Organizer
at congress@pmi.org.pl.
5. At the Participant's request, a pro forma invoice can be issued.
6. If the payment is not made within the deadlines specified in points IV, V, and VI,
the Participant should inform the Organizer via email at congress@pmi.org.pl,
indicating the reasons for the payment delay.
7. The Participant's absence during the Congress and/or failure to cancel in
accordance with point XI, section 2 of the Regulations, and failure to pay before the
event, will result in PMI Poland Chapter issuing an invoice and initiating all possible
collection processes, including listing in the National Debt Register (KRD).
8. It is possible to transfer the Congress fee to another person after prior agreement
with the Organizer and confirmation via email from congress@pmi.org.pl.
IX. Amendments to the Regulations
1. The Organizer reserves the right to amend the Regulations. Participants will be
notified of any amendments via the email addresses provided during registration or
on the event website. Amendments to the Regulations do not apply to participants
who have already completed the registration process and made payment before the
amendments come into effect.
2. The amendment to the Regulations will come into effect on the date indicated in
the notification of the amendment.
X. Complaints and Refunds
1. Complaints regarding the Congress should be submitted to the Organizer at the
following address: PMI Poland Chapter, ul. Domaniewska 47/10, 02-672 Warsaw, or
via email to: congress@pmi.org.pl within 14 days from the end of the Congress.
2. The complaint should include the Participant's details, a description of the
situation, and the reason for the complaint.
3. The Organizer will consider the complaint within 30 days from the date of its
receipt and will inform the Participant about the decision via email or traditional mail.
4. In the event of cancellation of participation in the Congress by the Participant, a
refund will be made according to the following rules:
a) If the resignation from participation in the Congress is submitted until
September 30, 2024, inclusive, the Organizer will refund 100% of the
participation fee.
b) If the resignation from participation in the Congress is submitted from October
1, 2024, to October 31, 2024, inclusive, the Organizer will refund 50% of the
participation fee.
c) If the resignation from participation in the Congress is submitted from
November 1, 2024, to November 19, 2024, inclusive, the Organizer will not
refund the participation fee.
d) Resignation from participation in the Congress must be submitted in writing
via email to: congress@pmi.org.pl or via traditional mail to: PMI Poland
Chapter, ul. Domaniewska 47/10, 02-672 Warsaw. The date of receipt of the
resignation by the Organizer will be considered the date of resignation.
5. In the event of the Congress being canceled by the Organizer for reasons not
attributable to the Participant, the Organizer will refund 100% of the participation fee.
XI. Final Provisions
1. By registering for the Congress, the Participant agrees to the use of their image in
promotional materials, photos, and videos taken during the event, provided by the
Organizer.
2. The Organizer does not provide insurance for participants against accidents, loss,
or damage to personal property. The Participant is responsible for obtaining
appropriate insurance if desired.
3. The Participant consents to the processing of their personal data by the Organizer
for the purpose of organizing the Congress, as well as to receive information and
promotional materials related to the activities of the Organizer and its partners. The
data will be processed in accordance with the GDPR.
4. Any disputes arising from participation in the Congress will be resolved by the
competent court for the Organizer's registered office.
5. The Regulations are effective from the date of publication on the event website.
